Presentation/Poster Upload Instructions for the 2020 ESMD-E3SM PI Meeting

UPLOAD INSTRUCTIONS

Please upload your file into the most appropriate presentation session or poster topic folder (see below) on Google drive using the following naming convention:

  • Presentations:  Lastname_Firstname_SessionNumber_DateOfPresentation; for example: 

    • Smith_John_D1S3_2020-10-26.pdf or Smith_John_D2S2_2020-10-26.pdf

  • Posters:  Lastname_Firstname_PosterSession_DateOfFirstDayOfConference; for example:

    • Doe_Jane_PS1-BGC_2020-10-26.pdf. If you have two posters that belong to the same poster session, please add a _1 and _2 to the titles (e.g. Doe_Jane_PS1-BGC_1_2020-10-26.pdf and Doe_Jane_PS1-BGC_2_2020-10-26.pdf)

    • If you have a video of your poster, which is optional, please add the word video to the file name (e.g. Doe_Jane_PS1-BGC_video_2020-10-26.mp4

  • If you must update, please add the word “revised” to the file name

For a link to the Google drive conference upload folder, visit the Meeting Home page. You will need your registration confirmation number to log in to the meeting website.

Poster files should be uploaded to the most appropriate Google folder (e.g. PS1-BGC, see below) no later than Wednesday, October 21, 2020, at 12:00 p.m. (noon) Eastern Daylight Time.

Oral presentation files should be uploaded to the Google folder for your session (e.g. D1S3 for Day 1, Session 3) no later than 5:00 pm Eastern Daylight Time on the day before your presentation.  

 

ADDITIONAL POSTER SUBMISSION INSTRUCTIONS

There are 10 topic areas. If your poster falls into several topic categories, please pick the best fit.

PS1 is for Poster Session 1, PS2 is for Poster Session 2.

POSTER CONTENT GUIDELINES

Due to the virtual nature of this year’s poster sessions, instead of creating a 3’x4' sheet, poster contributors are encouraged to create a PowerPoint slide deck of no more than 10 slides. Creating a video in addition to your PowerPoint slides is an option, if you so desire. See below for information on creating a video recording.

We are still working out the details of how poster authors can interact with meeting attendees, but the expectation is that poster authors will be available during their poster session (PS1 or PS2) on Day 2 or 3, respectively, to respond to questions submitted via email and/or some other method such as Slack.

 

Below are instructions for how you can create a video if you choose to do so:

 HOW TO CREATE A PRESENTATION VIDEO

There are several options for video based on preference:

VIDEO REQUIREMENTS

  • All videos should be submitted in MP4 format.  

  • HD Format (720p) strongly preferred

  • 1280 x 720 resolution

TIPS

  • In recording, ensure you are relatively free of background noise and/or use the noise cancelling setting on most PC or headset microphones.

  • Speak clearly and at a natural pace. Follow audio with video can be difficult if you speak too quickly.

  • Since you cannot point to your screen or presentation as you would in an in-person presentation, use clear references to your presentation when discussing specific diagrams, charts, or elements included.
