E3SM Phase 2 Collaboration Policy

As of E3SM first data release in April 2018, E3SM model source became 'open development' and is now freely available to everyone. This includes developmental code as well as versioned code release. Data from all major campaign simulations will also be made publicly available through ESGF archives. There can be few months delay between production of the data and its publication to ESG in order to give the E3SM scientists a chance to publish an overview paper on the data. The code support covers the code configuration that was used in E3SM major simulation campaigns for which the data was already released to the public. The code support guarantees that the code will run an all the E3SM supported machines in DOE LC centers.

Currently, (Nov 2018), the E3SM version v1.0 is supported with the standard (lower resolution) configuration that was used in the water cycle simulation campaign and CMIP6 DECK configuration.

The collaboration request is needed to grant permission to access E3SM internal Confluence site that contains extensive, internal, documentation or to gain access to not yet released E3SM data, or to request deeper collaboration with E3SM.

The collaboration request should include

  • Brief description of the research objectives of your project and the purpose of collaboration
  • Requested exceptions to the E3SM code or data policy ( like access to internal Confluence and/or what specific non-released data access is being sought)
  • List of publications expected to result from this collaboration, expected authors and anticipated approximate dates of their submission
  • The agreement on possible joint publication and/or inclusion of some E3SM authors
  • The agreement to acknowledge E3SM for using it's data and/or code.
  • List of names/emails of those requesting access
  • Suggestion of the name or names of the E3SM Point of Contact that collaborators would work with and stay in touch with
  • References

External projects like ecosystem projects, SFA's that use E3SM data or code, or other collaborators are expected to submit a collaboration request.

Requesting Collaboration and Approval Process

The prospectus collaborator should submit a collaboration request by email to E3SM Executive Committee (EC) (e3sm-exec@llnl.gov).  If the EC has no problem with the agreements, then it will be put on Confluence and an email will be sent to the leadership team to ask for comments within a week. If there are no concerns from the leadership team, then the agreements are automatically approved after one week.
