Email from Xujing to SciDAC PIs

Dear SciDAC 5 project PIs,

Thanks to all for your recent briefings!

Now we need to work on the upcoming SciDAC PI meeting:

Dates: Tuesday Sept 12^th to 14^th (People Check in on 11^th evening)

Venue: Rockville Hilton, Rockville, MD

Format: In Person with hybrid options for plenaries only.

Coordinators for BER component of the meeting. Hui and Matt have kindly agreed to help leading and coordinating the planning including developing BER breakout Agenda by end of April with your input. Thanks to Hui and Matt!

Items that we need to decide on:

1. Who to participate for each project: ASCR is the host of the meeting including all SciDAC partnerships. Each partnership like BER has 16 in-person slots (Includes 12 Lab and 4 non-Lab, with the Lab number being a cap). However, if we include project members from SciDAC institutes, those members do not count toward the 16.

2. The Agenda for BER-ASCR partnership breakout session:

• ASCR has a 4-hour time slot for parallel breakout sessions for each partnership on the 2^nd day , Sep 13^th. For BER’s 4 hour session, I am thinking about each project has a presentation to inform each other, then keep sufficient time for discussion. Of course, more details  need to be planned out.    

• Right now, the breakout session is only for in-person participation, I argued that hybrid format (either webinar format via zoom or webcast live breakout session discussions would be helpful based on the input from Hui and Matt) will enable broader participation from our project members. I will discuss with Lali if that would be possible.   

• 3. Poster Sessions on Days I and II: total number of posters and choice to keep same set of posters for both days or rotating posters day to day

• Each Partnership (and Institute) will have their own area and poster boards

• Poster Space is 4 ft x 4 ft for each poster

• Programs should provide info on expected # of posters by late April

• Programs can choose whether to have different sets of posters on the two days or leave them on and assign presenters by groups for each day

• PDFs of posters can be posted on the website if presenters wish to do so

I am also attaching the ASCR’s Draft Agenda as well as notes from Lali on planning and requirements for your reference.

Matt will start a Confluence page shortly for our brainstorming ideas for the planning.

Upcoming deadlines

• 26 Jul 2023 morning ET: draft agenda for BER breakout with speaker names to be sent to Lali (Done)

• Friday, August 11, 2023: talk and poster titles need to be provided here.

• 20 Aug 2023: deadline for hotel reservation at Hilton Washington DC/Rockville

Note: BER has a cap for 12 lab names and 4 non-DOE lab names for in person participation, SciDAC institute members do not count for this limit. ASCR additionally approved a few names.
